Secretary/Ministry Assistant - Job Description

 

Summary

The Secretary/Ministry Assistant (S/MA) supports all programs for promoting the gospel of Jesus Christ to the Clearwater First Baptist family and the surrounding community.  The S/MA will serve under the direction and supervision of the Lead Pastor.  The S/MA will support the ministry work of all church committees.  The S/MA position is part-time consisting of approximately 24 hours per week. The S/MA shall also be available to attend weekly staff meetings as needed.

 

Qualifications

  • The S/MA shall have a personal relationship with Jesus Christ and model a life that exemplifies Christian values.  
  • The S/MA shall have a good working knowledge of computer technology and resources to create, publish and distribute materials and media presentations as needed.
  • A high school diploma or GED completion certificate is preferred.
  • 1-year minimum experience as secretary/administrative assistant preferred.
  • The S/MA must pass a background check and be qualified to be bonded.

 

Ministry Responsibilities

  • Answer phones – check answering machine and pass along messages
  • Check / Print emails
  • Answer door, greet people and receive packages
  • Keep church calendar up to date
  • Notify a deacon if they have someone in hospital/death in family/or other need
  • Acknowledge memorial gifts
  • Make sure Sunday School literature order is correct
  • Verify Sunday’s deposit, open Monday’s mail and receipt
  • Post contributions, receipts and bank deposits
  • Reconcile bank and credit card statements at the end of each month
  • Prepare Staff Payroll
  • Pay invoices – write checks, pay online
  • Write reimbursement checks as needed
  • Proof/make copies of Wednesday night prayer sheet and place in foyer 
  • Weekly bulletin – print, copy, fold and place in foyer
  • Attend committee meetings as stated in church by-laws, i.e. Monthly Finance Committee Meetings, Monthly Church Conference Meetings, Annual Budget Meetings
  • Pay taxes and file quarterly
  • Prepare finance report and distribute it to finance members before 2nd Sunday of the month
  • Make copies of finance report and place them on table in foyer for congregation
  • Make sure all credit card receipts are turned in and verify charges by the department head before the bill is paid.
  • Order/Make special bulletins as needed
  • Order Mother’s Day and Father’s Day gifts

 

Yearly

  • Fall – Annual Association Report
  • PCIS (Vanco) compliance (dealing with our online giving)
  • File all end of the year taxes, prepare employee forms

 

Time Off/Vacation/Sick Leave

  • 5 vacation days per year
  • 5 sick days per year
  • Pastor must be notified in advance of time away (vacation)
  • Unused vacation and sick days do not carry over to following year
  • Additional time off exceeding quantities listed above will be given consideration by the Pastor and Personnel Committee based on the circumstances necessitating the absence on a case-by-case basis.
